August to December
- State Test Score Accountability Evaluation
- New ESL Student Registration and Verify HLS- within the first 4 weeks of enrollment
Assess with RPTE and OLPT, if language listed is anything other than “English”, Identify ESL program needs, Convene LPAC meeting for all qualifying students, Notify parents of ESL program qualification and benefits, Obtain parent permission for the ESL program, Place students with an ELAR/ ESL certified teacher, Enter student into PEIMS under ESL program, Complete digital LPAC records, and Assign ESL materials to teachers and students- bilingual dictionaries, translators, etc.
- Transfers Students
Request that registrars obtain documentation from previous districts, Review documents, determine placement, communicate to campus personnel and enter into digital records, Send parent notification for ESL program, Update PEIMS records for new students
- Teacher Certification – TEA compliance
Advise central office and campus administration of noncompliance and staffing solutions, Request list of new teachers and their certification from HR, Create a list of teachers serving EBs by level and subject serving, verify ELAR/ ESL certification placement, Organize opportunities for ESL training and ESL certification for teachers not appropriately certified that are serving the ESL population of students, Plan for recruiting additional teachers to obtain ESL certification, List all EB students and the teachers serving the ESL population
- PEIMS Coding
Update ESL student records in PEIMS: served, denials, monitors, program and irregularities, Add coding as new students are enrolled in the district, Change coding in any program status change, Verify SIS management for years in US schools and monitor students, every 6 weeks verification process
- Interpretation/ Translation Management
Organize district interpreters and translation services for meetings and PFE activities for district news, digital media and call out, district documents, handbooks, code of conduct, etc.
- Website Management and Google Classroom resources
Update ESL webpage with district and state information, Update digital resources for students, parents and teachers
- Testing
Order materials for TELPAS ALT student and admin booklets, Iowa Assessments for 9th- 12th grade LAS and Pre LAS, Administer all RTPE, OLPT and TELPAS on all campuses, Collaborate with district testing coordinators, ARD, MTSS and 504 for appropriate exams and accommodations for STAAR, EOC and TELPAS
- Title III Survey and SSA contract with Region 5
Complete Title III survey may be received in June and is due by July, Complete shared services agreement procedures, received in fall and due in November, verify Title III compliance and documentation on all campuses
- Title III Parent Engagement
Plan for ESL PFE topics and activities, Reserve venue, identify supports provided for families
- Departmental Professional Development
TEA Virtual ESL Support, Region 5: annual LPAC training, test coordinator training, TELPAS training, Directors meetings

- Board Report
Include: type of program, compliance and waivers (if needed), student enrollment, summer school (if needed), percentage of certified teachers, scope of professional development, parent/ family engagement opportunities and fiscal responsibility
January to June
- District and Campus Testing Coordinator Meetings
Verify LPAC testing accommodations needed for local benchmarks and state mock testing, Identify and distribute bilingual dictionaries that will be needed for testing, Reserve labs for Mock TELPAS and TELPAS, Order headphones w/ microphones (according to state requirements), as needed, coordinate roles and responsibilities for TELPAS testing

Adjust procedures for TELPAS updates, Discuss needs and procedures for ESL summer school, EOY LPAC regional training
- LPAC – state assessment and annual
Complete LPAC for state assessments in February, set-up and complete annual LPAC in May, agenda, invites, reclassification procedures, update accommodations and collaboration for state exams
- PEIMS Validation
Years in US Schools, Aslyee and Refugee students, Check with PEIMS coordinator to verify any aslyee or refugee data for coding and state testing
- TELPAS Mock and State Assessments
Train TELPAS raters for holistic administrations, Communicate with technology team to verify that updates on equipment are completed for the TELPAS mock and TELPAS testing, Create student lists by campus, Meet and organize with DTC to discuss sessions, Send emails to attendance clerks, APs and teachers including release lists, Email campus assurances for test security and validity, Complete campus assessments, Complete TELPAS holistic data entry by TEA deadline and verify with assistant superintendent
- Summer Professional Development
Prepare ESL best practices professional development, Present ESL certification training
- Summer Wrap up and Reorganization
Ensure documentation is properly filed in student digital and physical records, Reflect on previous year and update planning for following year, Follow-up with pending ESL reclassification, Attend Regional/ OLPT and RPTE trainings, Order Identification assessment materials
August to December

Evaluate grades at a minimum of 4 ½ weeks, Conference with students and/ or teachers about student academic progress, Address student attendance issues with students, registrars, admin and parents, Mediate for issues in poor student conduct, Promote participation in advanced classes, career and technology opportunities, UIL and extracurricular activities, Advocate for overall student wellness and basic needs i.e.: free lunches, weekend meals, vision checks, clothing, etc.
